FAQ
How does the contingency work?
On top of the monthly retainer, we charge a percentage on every euro of carrier overcharge that actually gets recovered. Starter is 15%, Pro is 12%, Scale is 8%. You only pay contingency on recovered amounts — not on flagged discrepancies. If a dispute fails, you owe nothing extra.
Why hybrid instead of pure subscription?
Because the value VaernFlow creates is wildly variable per customer. A €5M freight book recovers ~€100k/year; a €50M book recovers €1M+. A flat subscription would either over-charge small forwarders or massively undercharge large ones. Hybrid lets us serve both fairly — small retainer for everyone, contingency captures the actual upside.
What's the ROI guarantee, exactly?
If, in your first 90 days on a paid plan, we haven't found at least 3× your retainer in recoverable carrier overcharges (e.g. €900 for a Starter customer), we refund the retainer. No questions, no claw-back of recovered amounts. Email hello@vaernflow.com to claim.
Can I upgrade from Starter to Pro mid-month?
Yes — prorate is handled by Stripe. Upgrades are immediate (new features unlock right away), downgrades take effect at the end of the current billing period.
Where is data stored?
All customer data, files, and logs are stored in the EU (Frankfurt, eu-central-1) via Supabase EU region. We sign DPAs on request. Enterprise customers can request multi-region residency.
What AI does the audit use?
Anthropic's Claude Sonnet 4.6 — the model best suited for long-form invoice reading and structured extraction. We pass through all evidence quotes so you can verify every flagged discrepancy.
Can I cancel anytime?
Yes. Cancel in one click from billing. No proration on cancel, but you keep access until end of period. The ROI guarantee still applies if you cancel inside 90 days for performance reasons.
Do I need a contract / rate confirmation?
It helps a lot but isn't required. Without a contract, we audit against European market norms (fuel surcharge ranges, accessorial benchmarks, FTL/LTL rate-per-km baselines) and only flag clear-cut discrepancies. Pro and Scale include Contract Studio so you can draft and store rate cards in VaernFlow itself.
What if Pro's 200 invoice limit isn't enough?
Two options: (1) overage at €0.40/invoice over the cap, or (2) upgrade to Scale for unlimited. Most Pro customers stay well under 200 — that's roughly a €5M annual freight book.
